Ledger Line POS / New business merchant account

Short answerRead this first

How do I get a merchant account for a new business?

Have your legal business name, your EIN or SSN, a business bank account for deposits, a government photo ID, and a short description of what you sell, how you sell it and what you expect to run each month. No processing history or statement is needed to apply as a new business.

The right setup for a new business

What fits

A POS, terminal and online checkout chosen for how your customers will actually pay, with a pricing program you can read on your first statement.

Why it matters here

The first system you open with is the one most owners keep for years, so every mismatch becomes a monthly cost.

Most common setup mistakes

  • Buying the biggest package before the first sale
  • Signing a terminal lease that outlasts the device
  • Guessing monthly volume far above what you will run

Tell us about your launch and Dewey will tell you which setup fits your new business.

  • Step 2

    Optimized POS and payment setup

We match your business type and launch plan to the right POS, terminal and payment setup, prepare the application with you and help test everything before opening day.

  • Step 3

No long term contracts. No termination fees.

A new business needs room to grow and change. We set up accounts with no long term contracts and no early termination fees.

  • Step 4

    Keep more of every swipe

We show you what your expected monthly sales would cost under each pricing program before you sign, so your first statement holds no surprises.

Why the first setup matters more than the first rate

Most owners keep the first system they are sold for years. A counter POS chosen in a rush, a software plan with features nobody uses, or a pricing program that does not fit how you sell all cost money every single month after opening day.

Getting it right before launch is easier than fixing it later. Your menu or product list, your tax settings, your tipping and your hardware can all be set up once, tested before the doors open and left alone.

What underwriting looks at when you have no history

Without past statements, an underwriter reads your plan instead. Expect questions about what you sell, your expected monthly card volume, your average ticket, how customers pay (in person, online, by phone or by invoice) and when you plan to start taking cards.

Honest estimates help you. A forecast far above what you actually run, or a sudden jump well beyond what you described, is a common reason for funding holds on a young account. If your plan changes, tell your provider before the volume does.

What to have ready before you apply

Most applications ask for the legal business name and structure, an EIN or the owner's SSN for a sole proprietor, the business address, a government photo ID for each owner, and a voided check or bank letter for the account that will receive deposits.

Online sellers also need a working website with clear prices, contact details, a refund policy, shipping terms and a privacy policy. Some industries need a state or local license before a processor will approve them, so have yours in hand or applied for.

Choosing hardware and software for opening day

A coffee counter, a food truck, a salon and an online shop each need something different. Start with how a sale actually happens in your business, then choose the terminal, POS software and online checkout that fit, rather than buying the biggest package on offer.

Ask what you own and what you rent. Leases on card terminals can run longer than the business keeps the device, so read the hardware terms as closely as the processing rate.

Pricing programs for a business with no track record

You will see flat rate pricing, interchange plus pricing, and cash discount or dual pricing programs. Flat rate is simple to read, interchange plus usually shows the true cost more clearly as volume grows, and cash discount programs must follow card brand rules and state law where you operate.

Pick a program you can understand on your first statement. We explain each one in plain English and show how it would look at your expected monthly sales before you sign anything.

How we set up a merchant account for a new business

Send us your business type, your launch date, your expected monthly card sales and how you will take payments. We recommend the POS, terminal and pricing program that fit, prepare the application with you and help you test everything before opening day.

Dewey Kopenga, in payment processing since 2018, reviews every new business file himself before it goes to underwriting. There is no statement to upload. Fill in the short form and he will reach out.

What to check before you sign

We check these and every other line during a merchant statement analysis. New to statements? Read how to read a merchant statement.

  • A pricing program you can read item by item
  • Terminal or software fees billed monthly after you own the device
  • Annual, PCI or monthly minimum fees that were never explained
  • Rates that rise after an introductory period

Common questions

Still not sure? Ask us directly.

Can I get a merchant account before my business opens?

Yes. New businesses apply with their business details, ID, bank account and a sales estimate instead of past processing statements.

Do I need an EIN for a new business merchant account?

Corporations and LLCs use an EIN. A sole proprietor can usually apply with the owner's SSN.

What if my sales estimate is wrong?

Tell your provider when your volume changes. Large jumps beyond what you described are a common cause of funding holds.

Will I be locked into a contract?

Not with us. We set up accounts with no long term contracts and no early termination fees.

Is a new business automatically high risk?

No. Risk depends mostly on what you sell and how you sell it, though some industries are reviewed more closely from the start.
