Used and Refurbished POS Equipment: What to Check

A working device is not always a usable device for your business. Confirm support, ownership, and setup requirements before buying used or refurbished hardware.

Short answer

What should you check before buying used POS equipment?

Before buying used POS equipment or refurbished POS hardware, ask your processor to confirm compatibility and whether the device can be reprogrammed. Check ownership, lease obligations, software support, security updates, PCI requirements, and encryption key setup. Get the warranty and return terms in writing before you commit.

Confirm compatibility first

Check with your processor and software provider before relying on a seller's description.
  • Ask your processor to confirm the exact model and device details before you buy.
  • Confirm that your POS software supports the hardware and required accessories.
  • Ask whether the terminal can be reprogrammed for a new processor or is locked to one processor. Do not rely on the seller's claim alone.
  • Get confirmation that the device can be activated for your business. A factory reset does not prove compatibility.

Check security and ongoing support

Hardware that turns on may still be unsuitable for accepting payments.
  • Confirm that the device still receives required security updates and ask about end of support.
  • Ask your processor whether the exact device meets its current PCI requirements. A used terminal alone does not make your business PCI compliant.
  • Have the processor confirm how approved encryption keys will be installed. Do not assume keys from the prior owner can be reused.
  • Ask how the device is checked for tampering and how prior business data is removed before setup.

What to ask before you buy

Get answers in writing. Keep the seller's device details, ownership records, warranty, and return policy.
  • Does the seller own the device and have the right to sell it?
  • Is it tied to a lease, unpaid obligation, or processing contract? Buying hardware does not cancel an old agreement.
  • What was tested or replaced during refurbishment, and who did the work?
  • What warranty is included, who handles service, and what is excluded?
  • Can I return it if my processor cannot activate it? Get the return conditions in writing.

Start with the setup you need

This guide is buying advice, not an offer of equipment or a promise that a device can be activated.

Review POS systems to think through your setup. Browse processors and confirm support before committing to hardware.

Common questions

Still not sure? Ask us directly.

Can any used terminal work with my processor?

No. Compatibility depends on the model, software, security support, and processor requirements. Have your processor check the exact device before you buy it.

Does a reprogrammable terminal work with any processor?

No. A terminal sold as reprogrammable may still have software or security limits. Ask your processor whether it can be reprogrammed and activated for your business.

Can an old lease affect a used device?

Yes. The seller may not own leased equipment or have permission to sell it. Request proof of ownership and confirmation of any remaining obligations. Buying a device does not cancel a processing contract.

Is refurbished equipment automatically PCI compliant?

No. Refurbished describes the device's condition, not your business's compliance. Confirm device acceptance, security updates, and encryption key setup with your processor. Your business still has its own PCI responsibilities.

What if the hardware cannot be activated?

Your options depend on the seller's return terms. Before buying, get written conditions covering activation problems, warranty service, return eligibility, and who handles the return.
