Credit Card Convenience Fee Notice

A credit card convenience fee notice explains a charge for using an alternative payment channel. Before drafting one, confirm that your business and payment method qualify under the applicable rules.

Short answer

When does a credit card convenience fee notice apply?

A convenience fee generally relates to an alternative payment channel when a standard way to pay is also available. Eligibility and disclosure depend on card brand rules and your setup. Confirm the permitted fee structure and channels with your processor before adding any charge or publishing a notice.

Identify the payment channel

Online or phone payment may be an alternative to your standard payment method, but being online alone does not establish eligibility. Describe your standard way to pay and the proposed alternative to your processor. Ask whether your actual workflow qualifies.

Some industries, including government and education, have their own programs. Do not copy their notices unless your processor confirms that the same program applies to you.

Use the right fee category

Convenience fee rules differ from surcharge rules and differ by card brand. Requirements can address a flat fee versus a fee based on the payment amount, eligible channels, and who may charge it. Ask your processor which structure is permitted.

Do not call a surcharge a convenience fee. Changing the label does not change the payment arrangement or the rules that govern it.

Disclose before payment

Show the applicable fee before the customer completes payment. On a phone call, explain it before requesting payment approval. On a website, display it before the final submission step. An invoice line should direct customers to the payment method and notice.

State rules vary and can change. Check current state law and confirm current card network rules with your processor. This page is general information, not legal advice.

Review the setup and statement

Test the full payment flow, including cancellation and the standard payment option. Make sure staff can explain the notice without improvising fee rules.
