Short answerRead this first

What does a travel agency merchant account require?

Expect to show seller of travel registrations where your state requires them, supplier agreements, deposit and final payment schedules, your cancellation and refund policy, and the gap between booking dates and travel dates. That gap is the main number an underwriter studies.

The right setup for travel merchants

What fits

A gateway that separates deposits from final payments and records each booking's travel dates.

Why it matters here

Travel is paid long before it is delivered, so the processor is exposed until the trip happens. Clear booking records reduce that exposure.

Most common setup mistakes

  • Taking full payment months ahead with no deposit structure
  • No written cancellation policy at checkout
  • Mixing supplier payments and customer funds with no record

Send us one statement and Dewey will tell you if your setup fits your travel business.

  • Step 2

    Optimized POS and payment setup

We set up deposits, balance due reminders and booking records so every charge ties to a trip date. Agencies with a storefront get counter processing set up alongside the online checkout.

  • Step 3

No long term contracts. No termination fees.

Travel demand swings with seasons and world events, so you should never be stuck. Every account we place comes with no long term contracts and no early termination fees.

  • Step 4

    Keep more of every swipe

Travel statements often include card not present pricing, cross border fees and holds tied to future travel. We read each line and show you what is fair for your booking pattern.

Future delivery is the core risk

Travel agencies typically process under MCC 4722. Because payment comes long before the service, a supplier failure turns into a wave of chargebacks that the acquirer must cover if the merchant cannot. Underwriters estimate that exposure by looking at average days between booking and travel.

Visa's dispute rules address this timing. Its clarification on dispute condition 13.1, services not provided, explains when an issuer may file after a merchant cancels and how merchant evidence that services were received is weighed.

Seller of travel laws

Several states regulate travel sellers. The California Attorney General administers seller of travel registration, which comes with trust account or bond requirements. Florida's Department of Agriculture and Consumer Services registers sellers of travel and requires security.

Bring proof of registration for your home state and any state with its own rule. Merchant services for travel agencies move faster when that paperwork is ready.

Why travel merchant accounts get frozen

When cancellations spike, disputes spike with them. Visa flags US merchants at a 1.5 percent fraud and dispute ratio with at least 1,500 events, and Mastercard's threshold starts at 1.5 percent with 100 chargebacks. Group bookings and destination weddings can push a small agency over in a single month.

Clear written cancellation terms, accepted at checkout, are the best defense in a services not provided dispute.

Host agencies, independents and tour operators

A merchant account for travel agency work depends on who is merchant of record. Many independent advisors book through a host agency or let suppliers charge the card directly, which shifts risk away from the advisor. Tour operators and charter organizers usually take the payment themselves and face the deepest review.

Explain your model plainly. It changes which merchant account for travel business fits.

Deposits, final payments and timing

Many agencies take a deposit at booking and the balance closer to departure. Showing that structure, with the supplier's own payment dates, helps an underwriter see that you are not holding the full cost of a trip for months. Itemize nonrefundable supplier charges on the invoice so customers understand them.

For group and destination wedding bookings, use a written agreement for each guest or a single payer agreement so dispute evidence is clear.

Protecting the customer and the account

Encourage travel insurance in writing and keep the customer's acceptance or decline on file. Send confirmations each time a supplier changes an itinerary, and refund promptly when the supplier refunds you. Those habits keep a services not provided dispute from ever being filed.

Questions underwriters ask travel sellers

Expect questions about average ticket size, the longest gap between booking and travel, the share of bookings paid in full upfront, which suppliers you rely on most and how refunds flow when a supplier cancels. Have last year's monthly volume and refund totals ready.

Agencies that already track those numbers in their booking software can export them in minutes. Merchant accounts for travel are far easier to approve when the numbers are offered before they are requested.

Seasonal businesses should also explain their busy months so a volume spike reads as normal rather than suspicious.

How we set up travel merchant accounts

We document your bookings window, suppliers and policies, then place the file with acquirers experienced in travel. Any reserve is set by the acquirer after review, and we show you the terms in writing before you sign.

Tour operators and charter organizers who take full payment should also explain how they hold customer funds until the trip, since California's seller of travel rules include trust account or bond requirements. Our goal is a travel merchant account that holds up through the busy season as well as the quiet one.

What to check on your travel statement

We check these and every other line during a merchant statement analysis. New to statements? Read how to read a merchant statement.

  • Holds tied to the gap between booking and travel
  • Cross border fees on international supplier charges
  • Card not present pricing on phone bookings
  • Chargeback fees from cancelled trips

Common questions

Still not sure? Ask us directly.

Why is a travel merchant account high risk?

You collect payment long before travel happens, so supplier failures or cancellations can produce many chargebacks at once.

Do I need seller of travel registration?

California and Florida both require registration for covered sellers, and acquirers may ask for proof.

What dispute hits travel agencies most?

Visa condition 13.1, services not provided, when a trip is cancelled or never delivered.

Does being merchant of record matter?

Yes. Advisors who let suppliers charge the card carry less processing risk than operators who take the full payment.

Can independent advisors get a travel merchant account?

Yes. Many also book through a host agency or let suppliers charge directly, which lowers what the advisor processes.
